AssessNET Planned Outage – FAQ

As part of our ongoing commitment to provide a secure, high-performing experience, we’re upgrading our server infrastructure. This will involve a planned outage of the AssessNET platform to complete essential improvements. Please see below for everything you need to know.

Shape

Why is this outage happening?

We’re making a major upgrade to our server environment to support future growth, improve system resilience, and enhance platform speed and security. These changes ensure AssessNET continues to meet the evolving demands of our clients and remains one of the most secure and reliable health and safety platforms on the market.Shape

When is the outage taking place?

  • Date: Sunday 10th August

  • Time: 07:00 – 19:00 (BST)

This window has been chosen to minimise impact to most business operations.

Shape

What will be affected during the outage?

AssessNET will be completely unavailable during this time. This includes:

  • Logging or viewing Accident and Incident reports

  • Accessing or editing Risk Assessments, DSE Assessments, or Audits & Inspections

  • Document Manager and access to stored reports or certificates

  • Public QR code access and Portal links

  • All user types (Global Administrators, main system users, contractors/stakeholders accessing via Portal or QR Codes)

What do I need to do in preparation?

  • Communicate the downtime to all relevant employees, contractors, and external users.

  • If you anticipate needing access to specific documents or reports during the outage, we recommend downloading or exporting them in advance.

  • Consider rescheduling any scheduled audits, DSE assessments, or training review tasks that fall within the outage window.Shape

Will there be any change to data security or hosting?

No. We will continue to partner with Rackspace, and your data will remain fully secure with no change in location or retention policies. Regular backups are maintained throughout the process.

Shape

Can I report incidents or submit forms during the outage?

No. The platform’s reporting functionality will be offline. This includes:

  • Public incident submission via QR codes or portal links

  • Internal reporting of incidents, hazards, or safety observations

If urgent health and safety events occur during the outage, we advise using interim manual reporting methods and uploading the information to AssessNET once the system is back online.

Shape

Will support be available during the outage?

Yes, but with limitations:

  • Our Helpdesk remains open to answer queries or provide advice.

  • Our engineering team will not have access to the system during the migration, so technical interventions will be paused during the outage period.

For support in the lead-up to the outage, we recommend contacting the Customer Success Team via helpdesk@assessnet.co.uk to schedule any walkthroughs or planning support.

What happens after the outage?

The system will return to full service from 19:00 on Sunday 10th August, or earlier if migration completes ahead of schedule.

You may experience:

  • Slight temporary delays in email notifications and automated workflows resuming normal service as background processes catch up.

  • Improved system responsiveness and speed as a result of the upgrade.

Shape

What about automated notifications, task reminders, or escalations?

Automated processes such as task alerts, overdue notifications, and scheduled reminders will temporarily pause during the outage. These will resume once the system is live again.

Shape

Will my scheduled reports still run during the outage?

No. Any automated reports due during the outage won’t be sent at the scheduled time. Instead, they’ll be processed and delivered in Monday’s export and will include any data that would have been processed on Saturday and Sunday in the export file.

Shape

Can I still access historical records or compliance certificates?

No. Access to historical data—including safety audits, training records, inspection logs, and certificates—will be unavailable during the outage. Please download anything you may require in advance.

Shape

Will any new functionality be available after the update?

This upgrade is focused on infrastructure improvements rather than new features. However, it lays the foundation for upcoming enhancements to Task Manager and other modules, which we’ll be announcing shortly.

Still have questions?

Our team is here to help. If you need assistance with preparing for the outage, or if you have questions about your specific configuration, modules or user setup, please don’t hesitate to reach out:

We really appreciate your cooperation and understanding as we complete this important step to future-proof the AssessNET platform.
